Project Coordinator / Recruiter Job Description
The Project Coordinator/Recruiter is responsible for supporting all aspects of WHY-Q INC. and Open House Lofts research projects, with an emphasis on the identification and vetting of research participants.
The primary role of the Project Coordinator is to determine the eligibility of research participants (respondents) for a variety of different types of research studies. This is done through the use of a screening questionnaire and guide. After briefing with a Project Manager to assess the goals of the study and the parameters for qualifying a respondent, the Project Coordinator conducts preliminary interviews with each candidate respondent and records all of their responses which are then reviewed by our client to confirm respondent eligibility.
Once a respondent has been approved to participate in the research study, it becomes the Project Coordinator’s responsibility to ensure that the respondent is reminded of the necessary details for participation (i.e. location of the appropriate loft space with instructions for accessing the space, date and time of the discussion group, dissemination and collection of homework assignments prior to groups, etc.)
While we have a vast network of individuals who we can draw upon to participate in any given research project, a crucial element of the Project Coordinator role is the ability to build new relationships and identify new respondents to add to our constantly expanding network of qualified research respondents. This involves developing creative strategies for accessing new networks whether it be online (through LinkedIn, Facebook, Community Message Boards, etc.) or in person (networking events, corporate events, panels, etc.)
In addition, the Project Coordinator may be asked to assist with preparing respondent bios (descriptions of the research participant including personal details relevant to the current research study) or profile grids (spreadsheets displaying the answers provided by respondents during preliminary screening). These are used by the client team moderating the research discussions as a reminder of specifics of the individual(s) they’re speaking with.
Finally, Project Coordinators may also be asked to assist as needed when research projects are fielding in our loft space. This assistance may take the form of tidying work areas that may used by clients, placing food and/or supply orders, printing respondent grids and any necessary client documents, greeting clients, checking in respondents, handling miscellaneous client and/or respondent needs.
We are a small team, and everyone is also expected to maintain a clean and organized work space and assist in daily office maintenance involving taking out the trash in the evening, bringing dirty dishes to the office kitchen, bringing clean dishes and glasses back to the office space, wiping down surfaces etc. Everyone in the office is expected to participate in these activities equally and regularly.
The Project Coordinator should have the following skillsets / qualifications to be considered:
- A positive, gregarious, upbeat, energetic attitude. This role requires several hours of telephone conversation with research participants on a daily basis; Project Coordinators must be happy to converse with large numbers of strangers from all different backgrounds and walks of life and represent the company in an appropriate, professional manner. This role is also expected to continually introduce new research respondents into our network.
- Excellent command of written and spoken verbal skills; communicating multiple, accurate details about respondents to Project Managers and Clients is critical to successfully completing project objectives.
- Heavy proficiency in the Google Suite ecosystem, including Google Sheets, Docs, and Google Drive. Our operations rely heavily on these tools and the more experience a candidate for the Project Coordinator role has using them, the stronger their application will be. Knowledge of using AI to improve workflow — familiarity with popular, existing AI tools and an understanding of how to apply them to streamline day-to-day work. A good understanding of trends and brands; our research spans technology, fashion, and consumer culture, and recognizing the right respondent starts with understanding that world.
- A college-degree or higher, or currently pursuing a college degree
- At least 1 year of professional experience involving public relations, communications, sales, or some other customer facing position
- Demonstrated experience utilizing digital communications and engaging with customers over the phone
- An active personal LinkedIn and Facebook account which you will use to contact certain respondents as needed
- At least two professional references
